VigilantPay allows you to add one or several users who can approve batch files long before they go to the bank.
User(s) will be automatically notified by email and/or text that a batch file is ready to be approved and provided a link to quickly access the file. Within the software, the user(s) can see the full list of transactions, any flagged items, and any notes and documents saved by the team. User(s) can easily approve or deny transactions. You can also request or query us if you need more information about a specific transaction. Then the approved batch file is sent securely from VigilantPay to the Bank.
Segregation of Duties
This is a powerful feature of VigilantPay. It means that the person who loads a payment is not the same person who will approve it. You also have the ability to limit what a user can see. For example, you may have access to payroll but not creditors and vice versa.
Review payments and save notes
Once the batch file is uploaded to VigilantPay, your accounts payable team member is able to easily review flagged payments and confirm before submitting the file for approval, this way the approver(s) get real meaningful payment information giving them the confidence everything is as it should be.
The notes feature allows users to save notes and upload documents against specific payment lines and batch files for improved transparency and future auditing.
Set payment alerts
Easily set payment alerts that mirror your current policies for specific transactions within proposed payments. Whenever a payment exceeds a variation percentage threshold, users will be notified and prompted to review the transaction. This can be set as an individual level or across the group of wages and salaries separately.
The customer service has always been of a very high standard with any issues (not that we've encountered many) resolved efficiently. the configuration and set-up of the various workflows are also really easy to follow.
